Article II. Purpose
The purpose of this organization shall be to promote the continued well-being and excellence of Marietta College and its alumni.
Article III. Members
Membership Criteria
Membership in the MCAA shall consist of the following persons:
Article IV. MCAA Board Membership
Section 1: Board Composition
a) A minimum of fifteen (15) active Directors shall serve on the MCAA Board, with no more than twenty-two (22) serving at any time. The MCAA Chair and Vice-Chair are included in that number.
b) Five (5) Alumni Trustees actively serving on the Board of Trustees shall automatically be voting members of the MCAA Board.
c) Four (4) Student representatives
i. Three appointed by the Student Senate and president of the Student Alumni Council (SAC)
ii. Shall serve as Ex-Officio members, meaning they are welcome to attend MCAA meetings and activities, but are non-voting members,
iii. Senate members shall be staggered in class year (Suggested: 1 sophomore, 1 junior, 1 senior),
iv. Cannot be officers of the Board,
v. Student Board terms will be for one (1) year and may be reappointed by the Senate for up to three (3) consecutive years while remaining active students. Term of president of the SAC shall be concurrent with term with the student organization.
d) Two (2) Ex-officio, nonvoting members of the MCAA Board:
i. President of Marietta College
ii. Alumni Director
Section 2: Board of Directors Criteria.
Membership on the MCAA Board of Directors shall take the following factors into consideration:
a) The prospective Board member must meet general MCAA membership criteria, listed in Article III.
b) Commitment to mission of MCAA, commitment to College.
c) Diversity in class years, geographic representation, gender, and cultural perspectives.
Section 3: Duties and Responsibilities.
a) Commitment to mission of MCAA as well as to Marietta College.
b) Able to attend Board meetings and be active in committee work throughout the 3-year commitment.
c) The MCAA Board is advisory in nature. It has no fiduciary responsibilities to the College; although all members shall be encouraged to make annual contributions to the College, as allowed by circumstance.
Section 4: Board Selection.
a) Interested members shall serve on Nominations/Awards Committee, with Chair having final approval.
b) Nominations may be submitted by members of the MCAA to the nominating committee prior to the spring MCAA meeting.
c) The nominating committee shall propose to the Board a slate of nominees to fill the expiring terms at the spring meeting for a vote.
d) The MCAA Board may accept or reject in full or part the slate of nominees proposed by the nomination committee at the spring meeting. The Board may also entertain nominations from the floor of the Board.
e) Terms for new Board members begin at the start of the academic year (effectively attending the fall Homecoming meeting).
Section 5: Limit of Service. Members of the Board shall serve a term of three (3) years, with a maximum election of two terms in succession.
Section 6: Vacancy. In the event of vacancy, the Board Chair shall appoint an alumnus/a to complete the remaining term. In the absence of the Board Chair, the Vice-Chair may make the appointment. In the absence of the Vice-Chair, the Alumni Director makes the appointment.
Section 7: Termination of Board Membership. If a Board member misses three (3) consecutive meetings, s/he will be asked to resign from the Board. Allowances can be made for special circumstances. Although Board service may be over, the person is always a member of MCAA. Members can re-apply in future years and are allowed to serve additional terms.
Article V. Board Meetings
Section 1: The MCAA Board shall meet two (2) times each year or for special purpose as required. Generally, there is a spring and fall meeting.
Section 2: Attendance is mandatory for Board participation unless excused by the Chair.
Section 3: A quorum shall consist of more than fifty percent of voting Board members.
Section 4: Meetings of the MCAA Board shall be open to Marietta College alumni. In special circumstances the Chair may call for a closed-door session of the Board. Voting members of the MCAA Board members may also call for a closed meeting, with a simple majority vote.
Article VI. Officers
Section 1: Officer Elections. The election of the Chair of the Board and Vice-Chair of the Board shall be held at the first meeting of the calendar year (Spring). Newly-elected members and officers shall assume their positions at the next meeting (Homecoming).
Section 2: Terms. The term of officers shall be for one (1) year, beginning at the fall meeting. They are considered active, voting members. Officers may succeed themselves to the same office for a maximum of three (3) years.
Section 3: An Executive Committee to the Board of Directors shall consist of: Chair, Vice-Chair, Immediate Past Chair if the board term of the Immediate Past Chair has not yet expired, Alumni Director and chairs of the four standing committees.
Section 4: The Executive Committee may appoint a non-voting Advisory Committee.
Article VII. Duties for Officers
Section 1: The Chair of the Board shall preside at all meetings of the MCAA and the Board, call special meetings of the Board and perform other duties as the office may require, which can include attendance at campus and College functions.
Section 2: The Chair-Elect of the Board shall preside at all functions in the absence of the Chair.
Section 3: The Board of Directors shall perform all duties required for the following committees:
a) Homecoming/Events
b) Communications/Outreach
c) Student Engagement/MAAP/Career Services
d) Nominations/Awards
e) Other such programs may be deemed necessary, with the Chair being allowed to create new Committees, ad hoc groups and task forces, allowing that a simple majority vote of MCAA voting members approve the concept.
f) The MCAA's oversight of its finances, budget and allocations shall be a function of the organization's leadership with the Chair and Executive Committee participating in its execution.
Section 4: The Alumni Director shall be responsible for directing the maintenance of MCAA and MCAA Board activities and meetings. More details are available in Article IX Section 2.
Article VIII: Alumni Trustees
Section 1: Qualification. Only Marietta College graduates are eligible for election as an Alumni Trustee.
Section 2: Term of Service. Alumni Trustees shall be elected from the full MCAA membership for a term of five (5) years and may stand for re-election to the MCAA Board for two (2) consecutive terms following the completion of their terms as Alumni Trustee.
Section 3: Representative Number. There shall be five (5) Alumni Trustees on the Board of Trustees with one (1) Alumni Trustee elected each year.
Section 4: Elections. A call for nominations will be announced in the College magazine and on its Web site. Completed nominations can be forwarded to the Alumni Relations Office by mail or electronically no later than December 1. They will then be forwarded to the Nominations/Awards Committee for review.
a) The Nominations/Awards shall propose a slate to be communicated to the MCAA Board for approval and then on to the alumni for general election.
b) Ballots will be received by the Alumni Office in a timely fashion so that the new Alumni Trustee may be introduced to the Board of Trustees during its spring meeting.
c) The new Alumni Trustee will be introduced at the May meeting of the Board of Trustees.
Section 5: Alumni Trustee Vacancy. The MCAA Board has the right to appoint a fitting alumnus/a to fill an unexpired term of an Alumni Trustee.
Article IX. Interaction with College
Section 1: Relationship: The MCAA and its Board shall be supportive of Marietta College, its President and campus leadership and its Board of Trustees. The MCAA Board is advisory in nature.
Section 2: Alumni Director. Duties include coordination of alumni activities, the work of MCAA Board of Directors and the Alumni Trustees.
a) Represents the MCAA to the college administration.
b) Shall be hired by the Marietta College Vice President for Advancement.
Section 3: Alumni Office. As the MCAA is advisory in nature; the Alumni Office acts independently of MCAA direction. The Alumni Director directs office employees' relationship and duties associated with the MCAA Board.
Article X. Finances
Section 1: There shall be no dues to the MCAA.
Section 2: The College shall pay the business expenses of the MCAA as allocated in the budget.
Section 3: The MCAA Board may present requests for financial needs to the Alumni Office.
Section 4: All MCAA members, including its Board members, shall be encouraged to make annual contributions to the College.
Article XI. Awards
Section 1: The MCAA Board shall confer all or some of the following awards annually in recognition of accomplishments or service to the College. More details about each award can be found in the Appendix.
a) MCAA Hall of Honor
b) Distinguished Alumnus/a
c) Outstanding Young Alumnus/a
d) Honorary Alumnus/a Award
e) MCAA Service Award
f) Alumni Association Community Service Award
g) Marietta Alumni Admission Service Award
h) Career Center Alumni Service Award
Article XII. Amendments
Section 1: These bylaws may be amended at any regular meeting of the MCAA Board by a two-thirds vote of members present. Members will be made aware of any proposed bylaw changes at least two weeks in advance of an MCAA meeting.
Appendix A. MCAA Board Awards
The MCAA Board has the right to present several alumni-oriented awards, which will recognize distinguished accomplishments and commend their dedication and service to Marietta College. Summaries of each award follows:
1. Award Name: MCAA Hall of Honor
Summary: The Hall of Honor celebrates the most outstanding accomplishments of Marietta College alumni. Members of the Hall of Honor exemplify extraordinary characteristics that reflect the very best of the Marietta experience by their outstanding accomplishments in their profession, service to the College, service to their community and/or contribution to humanity.
Qualifications: Induction into the Hall of Honor is the highest honor bestowed by the Marietta College Alumni Association in recognition of outstanding achievement in one or more specific areas. Individuals inducted into the Hall of Honor shall also have any or all of the following: identifiable leadership roles, involvement in the community, interests and accomplishments outside the area of specialty and/or an identifiable impact on individuals, the community, the College, region, state, country or the world.
How to Nominate: Any Marietta alumni, staff, or friend can nominate an alumnus/a to the Hall of Honor. A short brief on this alumnus' accomplishments, with any supporting source materials, can be forwarded to the Alumni Office or the MCAA Nominations/Awards Committee at any time during the year. S/he will be considered and voted upon at the spring MCAA meeting.
When Awarded: Annually at Homecoming.
2. Award Name: Distinguished Alumnus/a Award
Summary: Distinguished Alumnus/a Awards shall be presented to an alumnus and alumna who have achieved significant accomplishments, have made outstanding contributions in their field and/or have distinguished themselves through service to their community, state, or nation.
Qualifications: Any member who meets the MCAA membership criteria qualifies for consideration. Nominees should be out of college for a minimum of 15 years. The recipient should have identifiable career and community accomplishments and/or excellence in his/her specific professional field or endeavor. By virtue of this alumnus' accomplishments, s/he has contributed to the increased value of the Marietta education.
How to Nominate: Any Marietta alumni, staff, or friend can nominate an alumnus/a for Distinguished Alumni consideration. A short brief on this alumnus' accomplishments, with any supporting source materials, can be forwarded to the Alumni Office or the MCAA Nominations/Awards Committee at any time during the year. S/he will be considered and voted upon at the spring MCAA meeting.
When Awarded: Annually at Homecoming.
3. Award Name: Outstanding Young Alumnus/a Award
Summary: Outstanding Young Alumnus/a Awards shall be given to an alumnus and alumna graduated 15 years or less who has significant accomplishment in business or professional life and/or has rendered outstanding service to the College or its Alumni Association.
Qualifications: Any member who meets the MCAA membership criteria qualifies for consideration. Nominees should be out of college less than 15 years. The recipient should have identifiable career and community accomplishments and/or excellence in his/her specific professional field of endeavor. By virtue of this alumnus' accomplishments, s/he has contributed to the increased value of the Marietta education.
How to Nominate: Any Marietta alumni, staff, or friend can nominate an alumnus/a for Outstanding Young Alumni consideration. A short brief on this alumnus' accomplishments, with any supporting source materials, can be forwarded to the Alumni Office or the MCAA Nominations/Awards Committee at any time during the year. S/he will be considered and voted upon at the spring MCAA meeting.
When Awarded: Annually at Homecoming.
4. Award Name: Honorary Alumnus/a Award
Summary: Honorary Alumnus/a Award shall be given to an individual who is not an alumnus/a but who has exemplified specific and meritorious service on behalf of Marietta College or the MCAA.
Qualifications: The recipient has attained significant recognition in his/her career and embodies the values, ideals and potential of an alumnus/a of Marietta College. Their accomplishments are exceptional and further Marietta's mission.
How to Nominate: Any Marietta alumni, staff, or friend can nominate an alumnus/a for Honorary Alumni consideration. A short brief on this alumnus' accomplishments, with any supporting source materials, can be forwarded to the Alumni Office or the MCAA Nominations/Awards Committee at any time during the year. S/he will be considered and voted upon at the spring MCAA meeting.
When Awarded: Annually at Homecoming.
5. Award Name: MCAA Service Award
Summary: MCAA Service Award shall be presented to anyone in the Marietta College community considered by the Board Chair to be deserving of recognition for service to the College.
Qualifications: The recipient has rendered significant service to Marietta College and embodies the values and ideals of Marietta College. Their accomplishments are exceptional and further Marietta's mission.
How to Nominate: Any Marietta alumni, staff, or friend can nominate an alumnus/a for MCAA Service Award consideration. A short brief on this alumnus' accomplishments, with any supporting source materials, can be forwarded to the Alumni Office or the MCAA Nominations/Awards Committee at any time during the year. S/he will be considered and voted upon at the spring MCAA meeting.
When Awarded: Annually at Homecoming.
6. Award Name: Community Service Award
Summary: Alumni Association Community Service Award is given to a member of the graduating senior class who has demonstrated continuing involvement as a leader and participant as a volunteer in any activity deemed of value to the community.
Qualifications: Must be a graduating college senior with a passion and commitment to community service. On-campus and community-oriented service are considered. Academic performance shall not be a factor in the selection.
How to Nominate: The Faculty Council shall nominate and select the recipient for this award. Selection is made in the spring semester.
When Awarded: Annually at Commencement. The award is presented by the MCAA Chair, Board member or Alumni Director.
7. Award Name: Marietta Alumni Admission Service Award
Summary: Marietta Alumni Admission Service Award is given to any alumnus/a who has significantly contributed to the success of the Office of Admission by attending college fairs in their community.
Qualifications: The recipient has participated in recruitment activities and immediately returned evaluation reports and student information cards that provide the College with timely and useful marketing information.
How to Nominate: The recipient will be selected by the Admission Office staff in collaboration with a representative of the MCAA Board of Directors.
When Awarded: Annually at Homecoming.
8. Award Name: Career Center Alumni Service Award
Summary: The Career Center Alumni Service Award is given to any alumnus/a who has significantly contributed to the success of the Career Center.
Qualifications: The recipient's contributions include serving on panels through the Career Center Alumni Speakers Series, recruiting students and other alumni through job postings, resume referrals, job fair attendance or on-campus interviewing, and providing job postings or posting jobs through the Career Center on a consistent basis. In addition, service as a mentor as part of the Mentoring Network program and maintenance of consistent contact with the Career Center mark the significant contributions of alumni.
How to Nominate: The recipient will be selected by the Career Center staff in collaboration with a representation of the MCAA Board of Directors.
